Reservation Policies and Rental Rates 

The Department of Athletics oversees and manages the following indoor and outdoor facilities: Keating Sports Center, Keating Recreation Field (north of the Baseball field), IIT Tennis Courts, Ed Glancy Field (Baseball), and Stuart Field (Soccer). All reservation information provided pertains to rental/use of one or more of the above.

The Department of Athletics reserves the right to refuse use to any group due to conflicts with upcoming events, field conditions, history of non-payment, history of abuse to facilities, or the nature of the use.

If a facility reservation request is submitted, even in the appropriate time, it does not guarantee approval of the request. If approved, a confirmation email will be sent to the contact person. If an email address is not available, the contact person will be contacted via telephone.

Policy and Priority of Reservations

Any group or organization wishing to use any Department of Athletics facility must fill out a Facility Request Form and return the completed form to the business office in Keating Sports Center at least one week prior to the event, and no more than one month prior (special cases may considered for rental sooner). The Department of Athletics uses a hierarchical process for the reservation of our facilities. This is used to better provide for all of our patrons and their requests, while still serving the needs of the university. The order of priority is listed as:

  1. Illinois Institute of Technology varsity teams
  2. Department of Athletics programs
  3. High demand times for general student use
  4. Illinois Institute of Technology Student Organizations (must be registered with the Dean of Students Office)
  5. Illinois Institute of Technology Affiliations (University Departments)
  6. Non-University (Community and off-campus groups)
 

Area policies and event policies will be communicated to the contact person of the requesting group/organization. It is the responsibility of the contact person to communicate with the group or organization.

Student Organizations are limited to reserving court time for only two hour time increments. This includes the time you need for set-up and clean-up of your event. Also, the frequency which a court can be reserved by a student organization is two times per month. This limit is due to the space constraints that we are faced with at Keating Sports Center and the high demand by students to have courts available for various recreational activities.

Payment

Any group that is considered an official Illinois Institute of Technology Student Organization by the Dean of Students Office will be exempt of usage fees for reservations unless the student organization is charging for the event being held in Keating Sports Center or is inviting non-IIT students to participate in the event. Student Organizations will still be required to fill out a Facility Request Form and return it to the business office at Keating Sports Center so that the request can be processed. Staffing, trash pickup, security, or any other special circumstances may require additional fees and a deposit.

For a non-university group, a user facility agreement must be signed at least 2 weeks prior to the scheduled event. A billing invoice will be issued to the group contact. The group contact person is responsible for making payments and communicating with the facility manager of the athletic department.

Full payment is due two week prior to the actual event for a non-university group. Payments may be made Monday through Friday, 9am-4pm, in the Keating Sports Center business office.

Non-University groups must have their own insurance, and a certificate of insurance satisfying the particular requirements set forth in the user facility agreement must be provided to the athletic department two weeks prior to the actual event.

Outdoor Facilities Reservation Policies

Ed Glancy Field (baseball) and Stuart Field (soccer) are not available for rental by any Student Organizations or non-university groups. Special requests may be considered.

The Keating Recreation Field is located north of Ed Glancy Field on the Illinois Institute of Technology campus. This field consists of a quarter mile dirt track, movable soccer goals, and open space. Keating Recreation Field may be reserved by university groups for team practices or to host games, tournaments, or special events.

IIT Tennis Courts are located just north of the MTCC, and are bordered on the west by the El tracks. IIT Tennis Courts may be reserved by university groups for team practices or to host games, tournaments, or special events.

In the event of cancellation due to inclement weather, every effort will be made to reschedule to a time mutually convenient to all parties involved.

Keating Sports Center Reservation Policies

  1. The Keating Sports Center facilities may be reserved by university groups for team practices or to host games, tournaments, or special events. 
  2. Those reserving space within the building must stay in the areas agreed upon and must follow building guidelines. Taking over the space of others or not complying with regulations may result in the loss of reservation privileges for the organization.
  3. Rearrangement of the space is not allowed unless permission is given prior to the event. Additional charges may apply.
  4. Any group or organization that has reserved space is responsible for clean up at the end of the event. Failure to do so will result in additional charges and loss of facility use privileges.
  5. Children between the ages of 13 and 18 must be supervised by an adult, IIT student, faculty, staff or Keating Sports Center member. Rentals for use by children under the age of 13 is not allowed.
  6. No alcoholic beverages or illegal drugs may be consumed prior to or while using the facility.
  7. Bicycles, roller-skates, roller blades, and skateboards are prohibited in the Keating Sports Center.
  8. Facilities may be closed and/or reservations canceled when warranted (i.e. special events, maintenance projects, and inclement weather).
  9. Any injury incurred within Department of Athletics property must be reported to the campus police.
  10. Use of the University facilities is a privilege, and participants are expected to exhibit proper conduct and respect the rights of others. Individuals who engage in unacceptable, unsafe or irresponsible behavior may have their access to facilities revoked, modified and/or subject to further University disciplinary action.
  11. Permanent reservations are restricted to only the Department of Athletics.Outside vendors are prohibited unless approved by the Department of Athletics.
  12. The use of locker rooms is not available for non-university groups.
  13. Proper athletic attire must be worn when participating in recreational activities: proper athletic (non-marking) shoes and clothing are required. Shirts must be worn at all times and should cover all areas of the skin which come in contact with the fitness equipment.
  14. The Illinois Institute of Technology and Department of Athletics are not responsible for lost or stolen property.
  

Illinois Institute of Technology Department of Athletics reserves the right to:

  1. Add additional stipulations to any event.
  2. Cancel any activity due to inclement weather.
  3. Cancel any activity that does not meet Department of Athletics rules and regulations.
 

Due to limited space available in Keating Sports Center, priority is given to Varsity Athletics. If a varsity team practice will conflict with a reserved court time, we will do our best to notify the student organization prior to the reservation, so that changes can be made. However, if a change were to occur at the last minute, we apologize for the inconvenience and will help to reschedule your reserved court time.

These policies are subject to change at the discretion of the Illinois Institute of Technology Department of Athletics Athletic Director.

Any events during non-business hours will require Public Safety, an Athletic Staff member, and a Student Staff Member to be on site. The following rates will apply:

Public Safety $32 per hour

Athletic Staff Member $32 per hour

Student Staff Member $10 per hour

These rates are subject to change, please check with the facility manager prior to the event to discuss necessary staffing and additional charges.
